How to read this guide
We group AI tools into 12 working categories: writing & content, meeting intelligence, customer support, sales enablement, document processing, data analysis, image & design, video, coding assistants, workflow automation, knowledge management, and voice. For an SMB, three or four of these typically cover 80% of the value — the trick is knowing which three.
The one question that filters everything
Before any purchase, ask: “where does our data go?” Tools that train on your inputs, retain prompts indefinitely, or route through third-party subprocessors are a different risk class than those with clean data agreements. This single question eliminates roughly a third of the market for any business with customer data — before you even discuss features.
Start narrow, measure, expand
The pattern that works: pick one workflow with a measurable cost (hours spent, tickets handled, days to close), deploy one tool against it, measure for a month, then decide. Teams that adopt five tools at once can't attribute impact to any of them — and usually renew none. Our AI Training service runs exactly this playbook with your team, on your workflows.
